Retainer
A retainer is a fixed fee a company pays an agency or consultant every month for an agreed, ongoing scope of work. The client gets steady access to a team without negotiating each job, and the agency gets predictable revenue. It differs from project fees, hourly billing and performance-based pay, where the bill rises or falls with the work or the results.
How it is used
Improvado describes the retainer as a fixed monthly fee for an ongoing, defined scope of work, suited to businesses that need continuous marketing support and strategy. The same guide puts typical retainers at $2,000 to $25,000+ a month.

The alternatives set the comparison. Project fees are a one-time flat fee for a specific, time-bound project, hourly billing runs $100 to $300+ an hour, and performance fees are tied directly to results.

The check we use
Effective hourly rate = monthly retainer ÷ hours the agency actually delivered that month.
Run it every quarter against the agency's own time reports. At the low end of the ranges above, a $2,000 monthly retainer equals 20 hours at $100 an hour. If the team logged far fewer hours, you are paying a premium for availability. That premium can be fine, but it should be a choice you made on purpose.
Where it sits in the budget
Retainers turn up in more than one budget line. In a sample budget from Spendesk, PR retainers sit inside public relations and events at 5% to 10% of the marketing budget. Agency creative fees sit under creative design and branding. Add every retainer together before you set the budget against the marketing budget as a percent of revenue benchmark.

Usual mistakes
- A loose scope. Without listed deliverables, the fixed fee pays for whatever the agency decides to do.
- No exit terms. Set a notice period and a review date at signing.
- Paying for craft that has become cheap. Improvado argues that the days when clever slogans and beautiful visuals alone justified premium retainers are over.

When it matters
Retainers are recurring commitments, and recurring commitments are the first line a CEO or CFO questions when the budget is cut. Review every retainer in your first 90 days and before any agency review. The agency selection playbook covers scope and contract terms.
